Preparation and Response for Project Acceptance
Project acceptance is the confirmation of the stage results by both Party A and Party B. If the acceptance is passed, the project enters the maintenance period. If the acceptance is not passed, the supplier needs to continue to improve the project until the acceptance is passed. For any project, we must strive for a one-time acceptance. In order to ensure that the acceptance is passed smoothly at one time, a detailed acceptance plan must be formulated before acceptance to ensure that nothing goes wrong. The acceptance plan mainly includes the following aspects:
Acceptance Basis Project acceptance must first have an acceptance basis recognized by both the supplier and the demander. Generally, it is based on the specific content of the project involved in the project contract and attachments signed by both parties and the change confirmation letter during the project implementation process. Before acceptance, check item by item to meet the contract standards.
Acceptance Method There are three main acceptance methods:
- Registration method: Register all items designed in the project for Party A’s acceptance and verification.
- Comparison method: Check whether the results of each construction content of the project are consistent with the contract terms and the engineering construction plan.
- Operation method: Actually power on the hardware one by one, run the software actually, and check whether it can meet the contract requirements.
- Test method: Submit to a third-party professional institution or use testing instruments recognized by both parties to check whether the deliverables are consistent with the contract requirements.
Acceptance Steps After determining the acceptance method, determine the acceptance steps according to the acceptance method and the actual situation of the project. It is necessary to achieve 4W+H, and have a plan for possible accidents to resolve problems in time.
Rehearsal It is best to rehearse the project 48 hours before acceptance, familiarize yourself with the acceptance process, and troubleshoot problems. The rehearsal should be strictly in accordance with the contract or even exceed the contract standard to prevent the customer from making special requests that cannot be met on site, affecting the acceptance progress.
Acceptance Although it has been rehearsed, in the on-site acceptance link, for the sake of safety, only the requirements raised by the customer should be demonstrated, or the most certain functions should be demonstrated. Never over-perform and demonstrate overly advanced functions to avoid “too advanced to display”.
Sign Acceptance Documents If the acceptance is passed, both parties need to sign the acceptance documents to show the completion of the stage task.
Timely Resolution of Remaining Problems Generally, in acceptance, Party A will raise some small problems that Party B did not notice during the execution of the contract. After the remaining problems are rectified, both parties sign the project handover form, and the project enters the maintenance period.
